The National Ice Hockey Championship ("the league", "we") runs tiered league hockey in the United Kingdom. This policy explains what personal data we hold, why we hold it, and what you can ask us to do with it.
1. What we collect
- Player registrations — name, date of birth, email, phone, home town and county, playing position, handedness, height, weight, preferred squad number, jersey size, current or previous club, and seasons played.
- Guardian details — for any player under 18, the name, email and phone number of a parent or guardian.
- Matchday safety information — an emergency contact and any medical notes you choose to give us.
- Identification photograph — optional. Used on team sheets to confirm identity at the rink.
- Enquiries — the name, email address and message you send through the contact form.
- Match participation data — goals, assists, penalties and appearances recorded by scorekeepers.
2. Why we hold it
- To place players with a club at an appropriate level and register them for competition.
- To cover players under league insurance and meet our duty of care on matchdays.
- To meet safeguarding obligations, which require a named responsible adult for every under-18 participant.
- To publish fixtures, results and standings.
- To answer enquiries and send league announcements to registered players.
3. Legal basis
We rely on consent for optional items such as the identification photograph and photography at fixtures, and on legitimate interest in operating a safe, insured competition for the core registration record. Where a player is a child, consent is given by a parent or guardian.
4. Where it is stored and who can see it
Registration records are held in a managed Postgres database and identification photographs in object storage, both operated by Netlify within our site's own account. Access to the roster administration area is password protected and limited to league registrars.
Medical notes and emergency contacts are visible only to registrars and matchday first-aiders. They are never published.
5. Who we share it with
We do not sell personal data. We share it only where it is necessary to run the competition:
- The club a player is placed with, for roster and team sheet purposes.
- Match officials and scorekeepers, for eligibility checks.
- GameSheet, our stats provider, which records and publishes match data including player names, squad numbers and scoring.
- Netlify, which hosts this site and stores its data.
6. How long we keep it
- Registration records — for the season registered plus three further seasons, so that eligibility and disciplinary history can be checked.
- Identification photographs — deleted at the end of the season unless the player re-registers.
- Enquiries — up to 12 months.
- Published match data — retained indefinitely as part of the league record.
7. Your rights
You can ask us to:
- give you a copy of the data we hold about you;
- correct anything inaccurate;
- delete your data, where we are not required to keep it;
- stop using it for a particular purpose, or withdraw a consent you previously gave.

8. Cookies
This site sets no advertising or analytics cookies. Signing in to the roster administration area sets one strictly necessary cookie that holds a short-lived session token and nothing else. The embedded GameSheet views are served by GameSheet and may set their own cookies.
9. Security
The site is served over HTTPS. Administration access requires a password, sessions expire after eight hours, and identification photographs are served only to signed-in registrars and are never cached by shared caches.
